The following guide will show you how to view all active job postings within your department and unit. This process will be especially useful if you want to:
- Monitor and create reports on active job postings in your department, college, division, etc.
- Ensure job postings are closed in a timely fashion.
In the PeopleAdmin system, users with Unit AA / Fiscal Officer and Approver can view and create a report that contains all active job postings in their respective departments, colleges and divisions. Initiators of job postings can create the same report, but the only postings they can see are the ones they specifically are assigned to or created. To request initiator access, please email employment@ncsu.edu and provide the Unity ID of the individual requesting initiator access.
To view or manage a job posting, follow these steps in PeopleAdmin:
- Go to the Applicant Tracking System (blue header). If you are already in the system, skip to step 2. If not, click the three dots in the upper left-hand corner and then select Applicant Tracking System. The bar at the top of the page will turn blue.

- Make the appropriate selection from the “User Group” drop-down menu near the logout button in the top right corner of the PeopleAdmin homepage. The page may take a couple of seconds to refresh.

- From the “Postings” drop-down menu, click the appropriate position type. After you make your selection, you will go to a screen where you can create new postings and manage and view existing postings.

- Please use the filters below the search box to refine your search to display all active postings. If no filters are shown, click “More Search Options” to reveal additional filters.

To search active job postings, please make sure the “Workflow State” filter is set to include all the active workflow states below:

- After you select the appropriate selections under “Workflow State,” click search to query a list of all active job postings.
Note: You do not have to enter a specific position or posting number into the search box. If you leave the search box empty, you will retrieve a list of all active job postings for any given position type.

- To export your search results to an Excel document, hover your cursor over the “Actions” drop-down menu and then select “Export results.”

It is important to regularly review your unit’s active postings and close the ones that no longer need to be active. This is a critical process that ensures the integrity of our recruitment data and provides closure to applicants who have applied for jobs.
Please send an email to employment@ncsu.edu if a job posting needs to be canceled due to a failed search and provide the position number and posting number (starts with PG). For postdoctoral postings that need to be canceled, please notify the Office of Postdoctoral Affairs at postdocadmin@ncsu.edu.
Best Practices and Reminders
- Position and hiring proposal closeout should take place once the background check has been endorsed.
- Once a position is marked as “filled,” users can no longer make changes or edits to that position posting.
- Confirm all applicant statuses have been updated prior to marking a position as filled.
